Events management - Aspects covered


In planning and executing the management of events, the following are usually aspects being covered or needing to be covered :
• Pre-event : Consulting with client and all roleplayers regarding anticipated outcome of event, expected input, facilitation, strategic alignment, pre-work with teams, etc.
• Site, service and facility evaluation : Pre- event site visit regarding suitability of site, service and physical facilities.
• Events management : Assistance with budgeting, planning and coordinating the event; venue and facility evaluation i.r.o suitability, service levels, equipment, etc.; all bookings, do rooming lists, organise / speakers, gifts, etc. and ensure payments are made timeously.
• Event administration : Confirmations to delegates with all necessary information, event documentation, teasers, maps, agendas for delegates, etc. Client distributes final documentation to delegates.
• Payment : Negotiate corporate package prices and, where possible, supply single invoice for client to pay. Do post-payment reconciliation on behalf of client.
• During event : Provide onsite assistance for full duration of event, ensuring that all aspects are properly co-ordinated and managed with a view to presentation of top standard event.
• Post-event : Compile post-event evaluation, providing quantitative and qualitative feedback reports. Provide also a page on website of photos of delegates during the event.
As to cost for events management, it usually runs in the order of 5% of the package, e.g. if the package totals R15 000, then cost amounts to 5% = R750. The services of 1 x facilitator is included in the management fee % as quoted for. Extra facilitators are charged for separately at daily rates, based on group numbers (usually 1 team leader per 10 to 12 delegates).


Events management - Pick the right one

The requirements and standards of modern-day events – conferences, receptions, gala events, etc. – has become so high, that the organizing thereof needs rather to be left to professionals to do it for you. There are people who through professional skills, knowledge and experience make it their business to deliver a tip-top event.
However, beware, there are also chancers in the business of events management – people not capable and, even worse, going for a financial rip-off, charging exorbitant tariffs relative to their quality of service.
So the message as regards events management is quite simple – leave it to the professionals, but pick the right one.
In this feature, there are no chancers, but for the rest, you as the client be the judge yourself.



Printing services - Extensive and fast developing industry


As an integral part of the modern-day business world, the printing industry is a vast, complex and fast-developing industry. Printing is being defined as a process for production and text and images, typically with ink on paper using a printing press. Often it is carried out as a large-scale industrial process and as such forms an essential part of the publishing and transaction process.
Printing was first conceived and developed in China in about the sixth century. Through trade routes, knowledge of printing spread to Europe and in 1440 Johann Gutenberg of Germany developed the first European printing press. From then on it developed in leaps and bounds to the highly sophisticated industry it is today. There are currently for instance 30 700 printing companies in the United States alone, accounting for a total turnover of some $112 billion per annum.
From a structural perspective, the South African printing sector is broadly divided into two main segments, viz. sheet-fed printing and web-based printing. Sheet-fed printing consists basically of lithographic printing (brochures, flyers, stationery, etc), textile printing (on T-shirts, caps, banners, etc.) and promotional items (pens, mugs, key rings, gifts, etc.). Web-based printing on the other hand comprises the printing of newspapers and magazines.
In the Free State Volksblad has the only one web-printing press, while there are many sheet-fed printers in the province.
The latter category is highly competitive and the client should examine carefully aspects such as quality of printing, quality of paper used, price, delivery time and general service. It is thus all about best value for money.

In hierdie verband kan egter gerus eers deeglik ondersoek word of die nodige dienste volgens die verlangde gehalte en teen mededingende tarief nie eerder in die Vrystaat bekom kan word nie.
